Texas Education Day

GBTA Texas will be hosting the 2027 Texas Education Day in Houston, Texas.

A committee will be formed in 2026.

2023 Committee Details

Education Committee:

Co-Chairs: Erica Merrill & Dell Rosepink

This committee is responsible for:

• recruiting committee volunteers
• proposing 1-2 event themes
• developing the agenda and educational content
• interviewing/ hiring/ confirming speakers, presenters, panelists, and moderators
• managing the event budget
• providing slide template to speakers (template is already developed)
• reviewing/approving slide content
• drafting session summaries for the communications team to disseminate
• preparing the sponsor to introduce the session
• working closely with the logistics committee for any speaker/ sponsor needs (travel, accessibility, etc.)
• hosting practice/rehearsal sessions, as needed

• providing final presentation material (slides, videos, etc.) to Venue committee and A/V crew.

Venue Committee:

This committee is responsible for:

• recruiting committee volunteers
• sourcing venue (completed)
• negotiating the venue contract (completed)
• working closely with venue meeting/event planner and Brittany Brown (TBTA Board)
• planning/executing configuration for main room, expo room and breakout rooms
• determining maximum capacity and communicating it to the sponsorship committee
• working with the Education committee to coordinate meeting room allocations for sessions
• ensuring Audio Visual requirements are planned and tested
• reviewing/finalizing menu selection

• coordinating venue payments

NOTE: The Venue Committee should consider sustainability in all decisions to minimize this event’s carbon footprint. If successful, we hope to share decisions made to minimize CO2 emissions as an announcement or part of an educational/break-out session. 

Sponsorship Committee:

This committee is responsible for:

• recruiting committee volunteers
• creating sponsorship packages (completed)
• securing sponsors for each package
• collecting payment
• securing in-kind donations, if needed/desired
• providing the event template to sponsors for their slides
• coordinating with other committees to ensure sponsors’ benefits are provided
• supporting the sponsors’ requirements
• communicating the sustainability objectives for this event to sponsors to reduce printed collateral
• allocating expo space for sponsors
• working with Education Committee to assign sponsors to introduce educational sessions
• providing regular updates of individually purchased attendance
• closing registration once maximum capacity is achieved

• collecting the sponsors’ digital material (slides, videos, etc.) and providing it to the Education Committee at least 48 hours prior to the event.

Communications Committee:

This committee is responsible for:

• recruiting committee volunteers
• amplifying event awareness to encourage individual attendance
• liaising with/ providing event content to all Texas chapters for distribution using the website, email, social media, and live announcements
• exploring event app options and presenting findings to the Steering Committee
• collecting all content for the event app
• coordinating with the event app provider to incorporate content into the event app ensuring compliance with data privacy guidelines

• communicating event app instructions to sponsors and registrants including support prior to and day of the event.

Logistics Committee:

This committee is responsible for:

• recruiting committee volunteers
• working with Venue Committee to ensure flawless event execution
• coordinating volunteer assignments including registration, expo support, etc.
• choosing a sustainable option for nametags
• producing attendee nametags
• coordinating speaker check-in
• coordinating rehearsal with Venue, Education, and Sponsor Committees

• organizing speakers, so they are ready prior to taking the stage.
